Operations Manager

Position Type: Full-time, exempt, permanent employee

Supervisory Support: Supervised by the Co-Executive Directors

Location: Hybrid, based in Massachusetts or Rhode Island

Role Summary

The Operations Manager supports the organizational infrastructure and financial health of One Square World (1SW) through their diligent, attentive, and adaptive management of legal, financial, human resources, and administrative activities for the organization. The Operations Manager is a grounded leader and builder of systems and structures that support the work of 1SW to strengthen environmental justice and related movement-building in the region. They are an anchor and compass, supporting the Co-Executive Directors to build, implement, and maintain organizational systems and policies grounded in 1SW frameworks of anti-racist principles, Just Transition, and cultural strategy. The Operations Manager is responsible for bookkeeping and accounting; legal agreements and contracts; human resources, personnel management, and wellness policies; and the development and management of other operational systems as needed. The Operations Manager works in partnership with the Co-Executive Directors to ensure that organizational and programmatic strategies are planned and carried out with the necessary financial structures and staff capacity; that operational systems function smoothly; that 1SW financial and operational information is provided to staff and board in accessible and timely ways; and that all staff members and contractors have the resources and tools they need to carry out their work in relation to 1SW values, frameworks, and policies.

Responsibilities

Legal

  • Develop, execute, and manage client contracts

  • Develop, execute, and manage contracts with operations and project contractors

  • Maintain Massachusetts corporate and nonprofit and federal 501(c)3 status, including developing an annual calendar of required filings and reports and ensuring timely submission of required documents

  • Maintain tax, employer, and other registration and compliance for states in which we have operations/employees

  • Evaluate, purchase/renew, and manage appropriate organizational insurance

  • Correspond with legal advisors as needed

Finance

  • Work with 1SW bookkeepers to oversee all accounts payable, accounts receivable, clients billing, and monthly reconciliations

  • Record and track all income and expenses and work with project managers to ensure alignment with project budgets

  • Providing financial reporting and analysis to Co-Executive Directors and Board of Directors, including annual budget, quarterly budget vs. actuals, P&L, cash flow

  • Develop and update 1SW’s Financial Procedures/Audit Manual

  • Maintain compliance with states from which we receive donations

  • Manage our annual audit process alongside auditors and 1SW Co-Executive Directors

Human Resources & Wellness

  • Manage payroll, including management of 1SW’s relationship with its payroll provider, running the semi-monthly payroll, and paying related taxes in all states where we have employees

  • Manage 1SW team benefits including healthcare, disability/parental leave, and wellness and education fund

  • Develop & update job descriptions and employee agreements for all staff and consultant roles

  • Develop and update employee handbook for the organization, covering items including but not limited to paid time off, benefits, information management, code of ethics, and conflict of interest policies

  • Work with the Co-Executive Directors to develop and oversee personnel hiring, onboarding, and separation processes

  • Ensure organizational policies are shared with, understood, and agreed upon by all staff and contractors

  • Develop and manage necessary processes to implement HR & wellness policies and practices

  • Work with the Co-Executive Directors to develop and implement a staff evaluation process, identifying staff pathways for growth, and adapting roles as they evolve

Fiscal Sponsorship

  • Manage and maintain fiscal sponsorship relationships and contracts.

  • Disburse funds to fiscally-sponsored projects as they are received, in accordance with project contracts and their budgets.

  • Track income and expenses for fiscally-sponsored projects, and provide financial reporting to project contacts.

  • Manage accounts payable and payroll for fiscally-sponsored projects if specified in their project contracts.

General Administration & Operations

  • Work with the Co-Executive Directors to inform 1SW’s strategic direction with the necessary financial and operational strategies, including revenue streams, financial planning, and staffing plans.

  • Manage and receive 1SW deposits; pick up and sort 1SW mail from offices in Boston and Providence at least once per week

  • Work with Project Managers to support 1SW staff project timelines management

  • Oversee IT hardware and software management: Google Drives, Zoom accounts, email accounts, internal communications & data storage management, and others

  • Attend staff meetings; present/facilitate at meetings as appropriate

  • Attend staff retreats; present and facilitate at retreats as appropriate

  • Accurately document time and expenses through 1SW’s administrative systems

Knowledge and Skills

  • Commitment to environmental justice and equity, and understanding of the transformative personal and organizational work necessary to achieve these goals

  • At least 3-5 years of professional experience working in financial management, human resources and/or administration and operations. Experience working for an organization that has multi-state projects and employees is strongly preferred.

  • Collaborative, adaptive and grounded worker who can respond to evolving organizational needs

  • Able to communicate clearly and effectively both in writing and orally

  • Good organization and time management skills

  • Experience with Quickbooks Online and ADP payroll services, or with similar systems

  • High level of proficiency with Google Workspace tools, especially Google Sheets.

Compensation and Benefits

This is a full-time salaried position. The salary for this position is $80,000 - $90,000 annually, in line with experience.

Benefits include full health care coverage and an unlimited paid time off policy subject to supervisor approval. Full terms and benefits for the position will be defined in the offer letter.
